Cancellation Policy

1. Introduction

At Arctic Insulation, we understand that circumstances can change. This Cancellation Policy outlines your rights to cancel services and the terms under which cancellations can be made.

This policy applies to all services provided by Arctic Insulation Ltd and complies with the Consumer Contracts Regulations 2013 and other relevant UK consumer protection laws.

2. Your Cooling-Off Period (14 Days)

Your Consumer Rights

Under UK law, you have the right to cancel your contract within 14 days of accepting our quote or signing the contract, without giving any reason.

The 14-day cooling-off period begins on the day after you:

  • Accept our written quotation, or
  • Sign a contract for our services, or
  • Make a deposit payment

How to Exercise Your Right to Cancel:

To cancel within the cooling-off period, you must inform us in writing by:

You can use this simple statement:

"I hereby give notice that I wish to cancel my contract for insulation services dated [date]."

3. If Work Has Already Started

If you request that we begin work during the 14-day cooling-off period, you must give us your express written consent. This can be in the form of:

  • A signed agreement acknowledging you are waiving your right to cancel without charge
  • An email confirming you wish work to commence immediately

Important Note

If you cancel after work has started (within the 14-day period), you may be charged a proportionate amount for work completed up to the point of cancellation. This will be calculated based on materials used and labour provided.

We will provide a detailed breakdown of any charges and will refund the balance of your deposit within 14 days of receiving your cancellation notice.

4. Cancellations After the 14-Day Period

After the 14-day cooling-off period, cancellations are subject to the following terms:

More Than 7 Days Before Installation

Full refund of any deposit paid, minus a £50 administration fee to cover survey costs and administrative expenses.

3-7 Days Before Installation

Refund of deposit minus 25% cancellation fee, as materials may have been ordered and scheduling arrangements made.

Less Than 3 Days Before Installation

Refund of deposit minus 50% cancellation fee, as materials have been purchased, teams scheduled, and other bookings potentially declined.

On Day of Installation or Work In Progress

No refund available. You will be liable for full payment for materials supplied and work completed. Any balance owed remains payable.

5. Rescheduling Your Installation

If you need to change your installation date rather than cancel, we're happy to accommodate where possible:

  • First reschedule: Free of charge if requested more than 7 days before the scheduled date
  • Second reschedule or late notice: May incur a £75 rescheduling fee
  • Multiple changes: We reserve the right to charge the full cancellation fee outlined above

6. Refund Process

When a cancellation is confirmed:

  • We will process your refund within 14 days of receiving your cancellation notice
  • Refunds will be made to the original payment method used
  • You will receive an email confirmation once the refund has been processed
  • Please allow 3-5 working days for the funds to appear in your account

7. When We Might Cancel or Reschedule

In rare circumstances, we may need to cancel or reschedule your installation due to:

  • Severe weather conditions affecting safe working
  • Emergency situations or unforeseen circumstances
  • Safety concerns identified during pre-installation checks
  • Material supply issues beyond our control

If we need to cancel:

  • We will notify you as soon as possible
  • We will offer to reschedule at no additional cost
  • If you prefer to cancel, you will receive a full refund including any deposits paid
  • No cancellation fees will apply
